On behalf of our client, one of the world's 20 leading pharmaceutical companies, we are looking for a successful candidate to fill the Commercial Operations Specialist position.

This position is in Kyiv, Ukraine.

POSITION OVERVIEW:

The main purpose of the role is to ensure proper Company contract-partners applications work out and service. Ensure Company`s products timely supply to central and regional Company contract-partners stores. Organization, maintenance and keeping proper documentation regarding clients’ service. Is responsible for collecting and analyzing data to evaluate existing and potential product markets. Collects data from a variety of sources and uses it to enable informed decision-making. Strategy co-ordination, brand analysis and product development analysis are key components to the role. Market and forecasting models are processes to get involved with too.


BACKGROUND, REQUIRED SKILLS & CAPABILITIES:
  • Higher education.
  • Previous work experience in pharmaceutical business.
  • Strong understanding of logistics processes.
  • Experience in records management and providing administrative support.
  • Excellent business communication and correspondence skills; ability to organize and conduct negotiations.
  • Well‑developed analytical skills.
  • Advanced PC user (proficient with key office software and digital tools).
  • Proficient SAP user.
  • High level of accuracy, attention to detail, and diligent document management.
  • Advanced level of English is required for this role.

MAIN RESPONSIBILITIES:
  • Contract Management – conducting all changes to annexes and add agreements.
  • Data analytics: weekly / monthly.
  • Effective management, communication and presentation of carried out analysis.
  • Conducting Contracts with Distributors for Company’s businesses (preparation of additional agreements, specifications, annexes to the Supply Contracts).
  • Preparation, approval and issue credit notes in SAP system (providing discounts to Distributors in accordance with additional agreements; compensation of the cost of medicines due to technical defects).
  • Maintenance of the quality management system (implement regional SOP on a local level - ensure that processes are followed, ensure establishment of local SOPs were necessary).
  • CoQ (Certificate of Quality) checking before import and coordination of corrections with Regional Quality team.
  • Communication with Distributors and Quality Issues (including CoQ).
  • Reporting of inconsistent cases to responsible persons.
  • Local audit/inspection participation; CAPA (corrective and preventive action) coordination and participation.
  • Coordinating any recall operations for medicinal products.
  • Ensuring that relevant customer complaints are dealt effectively.
  • Communication with Regional Quality team on the final disposition of returned, rejected, recalled or falsified products.
  • Active participation on regular “Quality Update Calls” held by Regional Quality.

LPCO responsibilities include:
  • Following the processes given in global, regional and, and local procedures.
  • Handling of technical product complaints.
  • Recording and processing of technical product complaints in the complaint management system.
  • Forwarding of complaint samples to investigation site.
  • Communication of the results to the complainant (if required).
  • Participation in any recall operations for medical products with Regional Quality team.
  • Participate in LAC (Local Advisory Committees) meetings.
  • Ensuring/performing communication to authorities if required.
  • Informing the local reporting requirements of the Regional Quality team.
  • Listing local reporting requirements.
  • Ensuring that local requirements regarding complaint and recall management are followed.
  • Ensuring that relevant GxP training is performed locally.
  • Active participation on regular “Quality Update Calls” held by Regional Quality.
  • Temperature monitoring for all deliveries.
  • Pro-acting support of tender business: monitor and prepare documentation for distributors.
  • Supporting orders: adapt distributors’ orders in accordance with stock level and marketing demand, response on the complaints/claims from customers (damage, shortage, over delivery, etc.), involvement in recall management.
  • Documentation workflow.
  • Back up: delivery management.
